Bookkeeping for yoga, pilates, and wellness studios

You teach the class. I’ll look after the books behind it: your Mindbody, Walla or Jane payouts matched to your bank, memberships and drop-ins tracked, and monthly numbers explained in plain language.

Barre and dance studios too. Memberships, class packs, and drop-ins are the same puzzle wherever the class happens.

Full-service bookkeeping starts at $350 a month, plus applicable taxes. That covers a simple business: one bank account, around 20 transactions a month, no payment processor or sales tax return, monthly reports, a monthly meeting, and your software.

Sound familiar?

A full schedule doesn’t always mean a clear picture

A member pays for three months in January, and you’re still teaching those classes in March.

Your studio software payout lands after fees and refunds, and it never quite matches your sales report.

Busy January, quiet July, and it’s hard to tell how the whole year really went.

You don’t need to love numbers to understand yours. That’s where I come in.

What I handle for studios

Books built around how your studio gets paid

Most studios juggle drop-ins, memberships, workshops, and a little retail, often across more than one app. Whether you run one room or a few locations, I set your books up around how money actually moves in your studio, then keep them current every month.

  • Deposits that make sense: Mindbody, Walla or Jane payouts matched to your bank, fees and refunds included
  • A true picture of your income: memberships and drop-ins tracked, so you see what you’ve earned, not just what you’ve sold
  • Clarity on what’s worth it: workshops, teacher trainings, and retreats kept separate, so you can see what each one brings in
  • No muddled totals: retail sales like mats and props kept apart from class revenue
  • One less thing at year-end: teacher pay recorded through payroll or contractor payments, with T4 or T4A slips done
  • Proof attached to every transaction that has one: your receipts and bills sit on the transactions themselves in QuickBooks Online, so a CRA review is a look-up rather than a search
  • Sales tax that doesn’t sneak up on you: GST, HST, PST, or RST set up to match what you sell and your registration
  • Numbers you understand: monthly reports and a review meeting in plain language

Corrie Verheijen, smiling, in patterned glasses and a golden top

“COVID changed how yoga, pilates and wellness studios run. Many now mix in-person classes with livestreams, on-demand videos and online memberships, which means more apps and more payouts to keep straight. My job is to make the numbers the calm part of your week, so you can get back to your students.”

Questions from studios

Studio owners often ask

Can you work with my current studio software?

Yes, and it doesn’t much matter which one you use. Mindbody, Walla, Jane, Momence, and WellnessLiving all work the same way for bookkeeping: I connect what your studio software records with what lands in your bank, so every payout, fee and refund is matched in QuickBooks Online or Xero. If yours works differently, I’ll build something that fits.

How much does it cost?

Every quote is built just right for your studio, based on your number of transactions, bank or credit card accounts, payroll and how complex your books are. You get a fixed monthly price in writing before any work starts. Full-service bookkeeping starts at $350 a month, plus applicable taxes. See sample pricing.

We’re a small, new studio. Is there a lighter option?

Yes. Plenty of small, new studios start with DIY Assisted Bookkeeping: you post your own transactions, and I reconcile your accounts, review your books and monthly financial reports, and meet with you monthly. For sales tax, you prepare, I review, you file. It starts at $180 a month, plus applicable taxes, and you can move to full service whenever you’re ready. See sample pricing.

My studio software already has reports. Do I still need a bookkeeper?

Your software shows what you booked and sold. Your books show what actually reached your bank, what the studio cost to run, and what’s yours after fees. I tie the two together every month, and help you keep an eye on cash flow, so a slow month or a big bill doesn’t catch you off guard.

Should my teachers be contractors or employees?

It depends on how the work is set up, and CRA looks at the whole working relationship. I’ll help you look at your setup and keep the right records either way. Your accountant or CRA has the final word.

My books are behind. Where do we start?

Right where you are, with no lecture. You get a catch-up plan and a price in writing before any work starts, then I keep you current every month.

Do you do my taxes?

No. I keep your books and sales tax remittances ready and work alongside your accountant. If you need one, I can refer you to a CPA I trust.

My studio isn’t in Alberta. Can you still help?

Yes. Everything is online, and I work with businesses across Canada, whether you charge GST, HST, PST, or RST.

The one exception is Quebec. I don’t take on clients there, because Quebec has its own sales tax, payroll and reporting rules. I recommend finding a bookkeeper who is fluent in French and knows Quebec’s regulations.
